The China-Side Work Between a Product Request and Handover

Finding a supplier is only one part of sourcing. Depending on the agreed service scope, product requirements may need to be clarified, supplier information cross-checked, finished goods inspected, or receiving and handover details coordinated before the order moves forward.

KY Sourcing handles the agreed China-side work and organizes the information the buyer needs to review before making the next decision.

A Working Base in Yiwu for Receiving, Checking, and Preparing Goods

KY Sourcing is based in Yiwu, Zhejiang. Our China-side receiving arrangement gives suppliers a consistent delivery point where incoming cartons can be recorded and prepared for the agreed next step.

For higher-volume orders held at a partner warehouse, KY Sourcing remains the buyer’s main point of contact and supervises the agreed inspection in person. We coordinate the sampling plan and record product condition, observed quantity, and packing findings for buyer review before release.

Checks

Inspection criteria should reflect the product and the agreed requirements—not a generic checklist. Before the inspection, we confirm the references and checking priorities most likely to affect the buyer’s decision.

The checking priorities are confirmed before work begins and adjusted only with the buyer’s approval.

You will not need to repeat the same information to different people as your order moves forward. From your initial product request through supplier coordination, receiving, checking, packing and shipment handover, KY Sourcing remains your main point of contact and keeps every stage connected.

Suppliers, warehouse partners and carriers may handle individual steps, but your main point of contact does not change. KY Sourcing coordinates the order, follows up on issues and keeps you informed throughout the process.

When Something Goes Wrong, We Follow a Clear Process

Problems do not always have the same cause or require the same solution. We first establish what happened, preserve the relevant records, explain the possible impact and coordinate the next practical step.

01

Identify Where the Problem Occurred

We review the order records to identify whether the issue arose with the supplier or during receiving, packing, shipping or another stage.

02

Preserve the Relevant Evidence

We collect and preserve relevant photos, videos, chat records, packing details, shipping labels and order documents for review.

03

Explain the Situation and Possible Impact

We explain what has been confirmed, what still needs checking and any likely impact on the expected timeline.

04

Coordinate the Next Step

We coordinate with the relevant supplier, warehouse or logistics party and keep the customer updated as the issue is handled.

The appropriate solution depends on the cause and the responsible party. If an issue is confirmed to have resulted from work under KY Sourcing’s control, we accept responsibility for our part and work with the customer toward a practical solution.

Start With a Product Request

A product link, photo or basic specification is enough to start the conversation. We will review what you need, identify any important information still missing and explain the next practical step.

A Larger Shipment in Practice

For this higher-volume shipment, the goods were received at a partner warehouse before dispatch. We went to the warehouse in person, arranged additional workers and supervised sampling from every carton. Product condition, quantity and packing were checked before the shipment was released, helping reduce the risk of defects, shortages or avoidable damage being discovered only after delivery.
